Why this change

E/A#92275 enables multi-select Download as PDF for reports in Spend > Reports. The help site article How to Export Reports still stated that "PDF downloads are only available for individual reports - they cannot be downloaded in bulk," which is now outdated.

What changed

docs/articles/new-expensify/reports-and-expenses/How-to-Export-Reports.md

  • Removed the outdated line stating PDFs cannot be downloaded in bulk.
  • Split the PDF section into How to download a single report as a PDF and How to download multiple reports as PDFs, documenting the new multi-select flow (select reports → SelectedDownload as PDFDownload file or Send me the file when it's ready).
  • Updated the intro, description, keywords, and internalScope metadata to reflect bulk PDF download.
  • Added an FAQ entry explaining the partial-failure behavior (the modal reports how many of the selected reports exported, with failed reports surfaced in Concierge).

UI labels were matched to the strings in the PR's exportDownload translations and the existing article's multi-report CSV section (Selected, Download as PDF, Download file, Send me the file when it's ready).

## What happens if some reports fail to download as PDFs?

When you download multiple reports as PDFs, the export modal tells you how many of the selected reports were exported. If any reports could not be generated, open your Concierge chat in the **Inbox** to see which reports failed.

Naming / prohibited language: "the export modal" uses internal/dev jargon rather than an exact UI label. Per HELP_AUTHORING_GUIDELINES Section 6 ("Avoid internal language") and HELPSITE_NAMING_CONVENTIONS (reference the exact UI text, no vague generalizations), reword to describe what the member actually sees — e.g. "a message tells you how many of the selected reports were exported" or reference the exact label shown in the UI.

HelpDot Documentation Review

Overall Assessment
This PR extends How-to-Export-Reports.md to document bulk PDF downloads. It splits the existing single-report PDF section into a single-report section, adds a new multiple-reports procedure, updates the YAML metadata and intro line to reflect bulk PDF support, and adds an FAQ covering partial export failures. The changes are well-scoped, consistent with the existing article structure, and align closely with the governance standards.

Scores Summary

  • Readability: 9/10 - Steps are sequential, action-oriented, and clearly written. The new bulk-PDF procedure mirrors the existing bulk-export pattern for consistency, and the failure-handling FAQ is concise and practical.
  • AI Readiness: 9/10 - New section headings are task-based and feature-specific (How to download multiple reports as PDFs; What happens if some reports fail to download as PDFs). internalScope and keywords were updated to reflect bulk PDF coverage, improving retrieval. Heading hierarchy stays within H1/H2 only.
  • Style Compliance: 9/10 - Button labels (Selected, Download as PDF, Download file, Send me the file when it is ready) are bolded and match UI casing. Unified navigation phrasing (on the left on web, on the bottom on mobile) is used correctly. Concierge/Inbox terminology is consistent with the rest of the article.

Key Findings

  • The metadata update is accurate: internalScope now correctly states PDF download is covered individually and in bulk, and keywords adds bulk PDF download to match real search intent.
  • Splitting the old section into single vs. multiple report headings improves searchability and cleanly removes the now-outdated they-cannot-be-downloaded-in-bulk limitation.
  • New steps and the failure FAQ follow exact-UI-label rules and bold-button conventions throughout.
  • Minor: the new step 5 packs two distinct actions (download vs. have Concierge send the file) into one numbered step. Consider splitting for cleaner step granularity, though it remains readable.
  • Minor: export modal in the new FAQ is slightly generic/internal-leaning phrasing; prefer the exact on-screen label if one exists.

Recommendations

  • Optional: separate the Download file action and the Send-me-the-file-when-ready alternative so each step reflects a single discrete action.
  • Optional: replace the export-modal-tells-you wording with the exact UI wording shown on screen, per the exact-UI-text rule.
  • No blocking issues. The changes are publish-ready.

Files Reviewed

  • docs/articles/new-expensify/reports-and-expenses/How-to-Export-Reports.md - Approved with minor optional suggestions.
